1. Who we are
This Privacy Policy describes how TechFanatic("we", "us", "our") processes information when you use BaseCrew("the Service"), a cloud-based project management and workforce visibility platform operated at https://basecrew.in.
BaseCrew is the product name only. The legal entity responsible for the Service, billing, and data processing is TechFanatic.
2. Scope
This policy applies to:
- Visitors to our marketing website
- Organization administrators who create an account
- Team members invited to an organization workspace
- Payment and subscription data processed when you purchase a paid plan
BaseCrew is an internal operations platform for companies. End clients of your business do not use the portal unless you explicitly invite them (not the intended use case).
3. Information we collect
3.1 Account and profile data
- Name, email address, password (stored hashed), role, and organization membership
- Organization name, organization code, and subscription plan
- Profile photo if you upload one
3.2 Work and activity data
- Projects, tasks, attendance records, time entries, and KPI/report data you create in the app
- Desktop activity screenshots captured by the BaseCrew desktop app when enabled on your plan
- Notifications, reminders, and audit-related metadata
3.3 Payment data
Paid subscriptions are processed by Razorpay. We receive subscription status, invoice references, and payment confirmation - not your full card or UPI credentials. Razorpay's privacy practices are governed by their own policy.
3.4 Technical data
- IP address, browser or app type, device information, and session logs
- Cookies and similar technologies required for authentication and security
4. How we use information
We use collected information to:
- Provide, operate, and improve BaseCrew
- Authenticate users and enforce organization-level data isolation
- Process subscriptions, trials, and billing through Razorpay
- Send transactional emails (verification, invites, billing notices, security alerts)
- Monitor abuse, enforce our Terms, and protect platform security
- Comply with applicable law
We do not sell your personal data.
5. Data isolation between organizations
Each customer organization's data is logically separated. We scope database queries, file storage, and API access by organizationId. See our Security page for more detail.
6. Storage and retention
- Application data is stored on servers and cloud storage providers we configure for production
- Screenshots and files are stored in organization-specific paths (e.g. AWS S3)
- Retention of screenshots and operational data depends on your subscription plan and account status
- Deactivated organizations may be subject to a grace period before permanent deletion (see Terms)
7. Sharing with third parties
We share data only as needed to run the Service, including with:
- Razorpay - payment processing and subscription management
- Email (SMTP) providers - transactional email delivery
- Cloud infrastructure providers - hosting, database, and file storage
- Law enforcement or regulators - when required by valid legal process
We require processors to handle data only for the purposes we specify.
8. Your rights and choices
Depending on applicable law, you may request to:
- Access or correct personal data we hold about you
- Delete your account (subject to organizational admin policies and legal retention)
- Withdraw consent where processing is consent-based
- Raise a complaint with a supervisory authority

9. Security
We use industry-standard measures including encrypted transport (HTTPS), hashed passwords, tenant-scoped access controls, and isolated storage paths. No method of transmission or storage is 100% secure.
10. Children
BaseCrew is a business-to-business service not directed at children under 18. We do not knowingly collect data from children.
11. International transfers
Data may be processed in India and, where applicable, in other countries where our infrastructure providers operate. We take steps to ensure appropriate safeguards where required.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Material changes may be communicated by email or in-app notice.
